The full USFans workflow in one place: creating an account, adding funds, placing an order, reading QC photos, consolidating, and shipping — with the mistakes that cost beginners money.

Complete USFans Shopping Guide

This is the end-to-end walkthrough: everything between deciding you want something and opening the box at home. If you only want the mechanics of searching this site's database, read the USFans spreadsheet tutorial instead — this guide is about the whole order.

Before you start

You need three things: a USFans account, a funded balance, and a shortlist of products. None of it takes long.

1. Create the account

Sign up here. Registration is free and immediately drops a welcome coupon bundle into your wallet — check what landed, because the minimum spends on those coupons should shape your first order.

2. Understand what you will pay

As of September 2026, USFans charges a 5% service fee on the item price, published on the USFans fee page. On top of that sits domestic shipping inside China (usually a couple of dollars), international shipping by weight, and any import duty your country charges. QC photos are free, which is not true of every agent.

3. Build a shortlist

Do not order one item. Storage is free, so plan a haul of several pieces and ship them together — consolidation is the single biggest lever on total cost.

Step 1: Find products

You have two routes.

The spreadsheet route. Browse the USFans spreadsheet: thousands of verified Taobao, 1688 and Weidian listings with English titles, current prices, photos and a direct buy button. Filter by category, sort by price, and shortlist.

The direct route. Search Taobao, 1688 or Weidian yourself and paste the product URL into USFans. More work, more coverage, more risk of a bad seller.

Most people do both: the spreadsheet for the things everyone buys, direct links for the niche stuff.

Step 2: Place the order

  1. Open the item in USFans (the spreadsheet buy buttons do this for you)
  2. Select size, colour and quantity — carefully, because Chinese sizing runs small; check the size chart
  3. Add a note to the seller if you need a specific variant
  4. Add to cart
  5. Pay from your USFans balance

Add roughly 10–15% more to your balance than the item total. Shipping is charged separately later, and having the funds already there avoids a second payment step.

Step 3: Wait for the warehouse

The seller ships domestically to the USFans warehouse. That leg is usually 2–7 days; slower over Chinese public holidays. When it arrives, the item appears in your warehouse list.

What can go wrong here: the seller is out of stock, or sends the wrong variant. Both are resolved by USFans support, which is why you order through an agent rather than a forwarder.

Step 4: Read the QC photos

This is the step beginners skip and regret. USFans photographs every item on arrival, free, and you decide what happens next:

  • Approve — the item joins your warehouse, ready to ship
  • Exchange — you want a different pair from the same seller
  • Return — cancel and refund

Look at shape and proportion first, then logos and text, then stitching, then materials. Compare against retail photos. Our QC photo analysis guide covers this properly, with brand-specific checklists.

Rule of thumb: minor flaws that nobody will see when worn are worth approving. Wrong size, wrong colour, visible asymmetry and damage are not.

Step 5: Consolidate

Free storage means you can let a haul accumulate over weeks. While you wait:

  • Order the rest of your shortlist
  • QC each piece as it lands
  • Watch for a shipping coupon in your wallet

Shipping four items in one parcel instead of four is routinely a 40–60% saving on the international leg.

Step 6: Ship

Select the items, pick a line, set the declaration, pay.

Line choice in one line each (rates as of September 2026): tax-free lines are the balanced default at roughly $12–15 per kg with 12–18 day delivery; EMS is the reliable fallback at $18–22 per kg; DHL and FedEx are fast and expensive at $22–35 per kg; sea freight is $6–8 per kg and takes 30–45 days. The methods and costs guide has the full table.

Before you submit, strip weight: ask for shoe boxes to be removed, request vacuum packing on clothing, and drop any single heavy item into its own cheaper shipment.

Set the declaration properly. This decides whether customs taxes you. See how to declare on USFans for the thresholds by country.

Step 7: Track and receive

You get a tracking number. Follow it on the carrier's own site. Silent stretches of 3–7 days are normal, especially around customs. If nothing moves for 10+ days after the outbound scan, contact support.

On delivery: photograph the outer box before opening if it looks damaged, and check contents against your order the same day.

The mistakes that cost the most

Ordering one item at a time

Every shipment carries its own base cost. Five separate parcels can easily cost more in shipping than the goods.

Skipping QC

The whole advantage of an agent is inspection before shipping. Approving blind throws it away.

Guessing sizes

Chinese sizing is not Western sizing. Use the seller's own centimetre measurements, not the label size.

Declaring badly

Too low invites inspection and voids insurance value; too high pays tax you did not owe.

Shipping in mid-January

Chinese New Year shuts down factories and warehouses for two to three weeks. Order in December or wait until March.

A realistic first order

| Step | What you do | Typical cost | |---|---|---| | Register | Free, collect welcome coupons | $0 | | Order 3 items | Product cost | $120 | | Service fee | 5% | $6 | | Domestic shipping | Seller to warehouse | $5 | | QC photos | Free | $0 | | International shipping | ~2 kg, tax-free line | $25–30 | | Total | | ≈ $156–161 |

Use the import duty calculator to check whether your country adds anything on top.

Your checklist

  1. Create the account and read your coupon wallet
  2. Shortlist from the USFans spreadsheet
  3. Fund the balance with 10–15% headroom
  4. Order everything before shipping anything
  5. QC each item as it arrives
  6. Consolidate, strip weight, choose a line
  7. Declare sensibly and track the parcel

Everything starts with a good listing. Browse the USFans spreadsheet — it is free and needs no account.
